A clear RFQ package helps a machine shop understand your part, identify manufacturing risks, and prepare an accurate quotation without unnecessary delays. Before requesting a CNC machining quote, use the checklist below to make sure the key technical information is included.

1. Provide a 3D model and a dimensioned drawing

Send the native CAD file when possible, together with a neutral STEP or IGES file. A dimensioned 2D PDF should identify critical dimensions, tolerances, threads, surface-finish requirements, and any features that cannot be interpreted from the 3D model alone. If the model and drawing differ, clearly state which document takes priority.

2. Identify critical tolerances

Avoid applying the tightest tolerance to every dimension. Mark only the features that affect fit, alignment, sealing, motion, or assembly. This allows the manufacturer to select appropriate processes and inspection methods while keeping the part cost-effective.

3. Specify the material precisely

Include the material grade, condition, and any approved alternatives. For example, specify 6061-T6 rather than simply “aluminum.” For tool steels and mold components, also state the required hardness, heat treatment, and whether material certificates or traceability records are needed.

4. Define surface finishing requirements

State the required finish and the surfaces to which it applies. Typical requirements may include anodizing, polishing, grinding, bead blasting, black oxide, nitriding, PVD coating, or an as-machined finish. Include color, gloss, coating thickness, masking areas, and cosmetic acceptance criteria where relevant.

5. Include quantity and delivery expectations

Provide the prototype quantity, expected production quantity, repeat-order frequency, and requested delivery date. These details affect material purchasing, fixture planning, machine selection, packaging, and shipping.

6. Explain the application and quality requirements

Briefly describe how the part will be used and which features are most important. Note any requirements for first-article inspection, dimensional reports, material certificates, hardness reports, RoHS compliance, special packaging, or part marking.
